Walmart WFS Prep and Marketplace Fulfillment Services
Selling through Walmart can create new growth opportunities, but marketplace inventory must be prepared, labeled, packed, and shipped according to the requirements that apply to the seller’s fulfillment method.
Proven Prep provides Walmart WFS prep services and seller-fulfilled Walmart Marketplace support from our Portland, Oregon warehouse. We can receive inventory, inspect visible condition, apply approved labels, poly bag or protect units, prepare cartons or pallets, store replenishment inventory, and support outbound shipments based on the seller’s Walmart shipping plan and written instructions.
Support can include:
- WFS inventory receiving and preparation
- Unit labeling and barcode verification
- Poly bagging and protective packaging
- Bundle, multipack, and set preparation
- Carton, pallet, and inbound shipment preparation
- Storage and recurring WFS replenishment
- Seller-fulfilled Walmart Marketplace order fulfillment
- Returns, removals, rework, and inventory recovery
Walmart Fulfillment Services and Seller-Fulfilled Orders Are Different Workflows
Walmart Marketplace sellers may use Walmart Fulfillment Services, fulfill orders themselves, or work with a third-party logistics provider for seller-fulfilled orders.
With WFS, the seller creates and manages the Walmart account, listings, item setup, shipping plans, and program settings.
Inventory is prepared and sent to Walmart fulfillment centers, where Walmart handles eligible customer orders after the inventory is received.
With seller-fulfilled Walmart Marketplace orders, inventory remains with the seller or 3PL. Orders flow to the fulfillment operation, are picked and packed, and ship directly to the customer under the seller’s configured shipping rules.
Proven Prep can support either operational path:
- Prepare and forward inventory into WFS
- Store reserve inventory for future WFS replenishment
- Fulfill seller-fulfilled Walmart Marketplace orders
- Use one inventory operation for Walmart, Shopify, Amazon, wholesale, and other channels
- Process inventory returned or removed to our warehouse according to approved instructions
The correct setup depends on product eligibility, seller strategy, order volume, inventory position, and Walmart’s current program requirements.
Walmart WFS Prep Services
Receiving and Inventory Reconciliation
Inventory can be delivered from a manufacturer, supplier, distributor, freight forwarder, retailer, or another warehouse. Our team receives cartons or pallets, checks the shipment against the agreed receiving documentation, and organizes units by SKU.
A documented receiving plan should identify:
- Seller SKU and product name
- UPC, GTIN, or approved barcode
- Expected quantities
- Case-pack details
- Lot or expiration information where applicable
- Visible-condition standards
- Bundle or multipack rules
- Shipping-plan or destination information
- Escalation procedures for shortages, overages, or damage
Unit Labeling and Barcode Preparation
WFS inbound inventory generally requires scannable product identification and packaging that allows efficient receiving. Depending on the product and the seller’s instructions, prep work may include applying approved unit labels, checking barcode placement, covering conflicting scannable barcodes, or correcting labels before the inventory ships.
The seller is responsible for supplying accurate item data, label files, shipping-plan information, and current requirements. Proven Prep performs the physical prep work included in the approved scope and does not control Walmart’s final receiving decisions.
Poly Bagging and Protective Packaging
Products should arrive protected, contained, and ready for handling. Prep requirements vary by item type and may include clear poly bags, sealed packaging, protective wrap, boxed units, closures, or other safeguards.
Our team can follow written packing instructions for:
- Apparel and soft goods
- Items with loose components
- Products requiring protection from dust or handling
- Multipacks and sets
- Fragile or damage-sensitive products
- Units with exposed surfaces
- Products that need additional containment
Packaging materials, warning language, dimensions, and sealing requirements should be confirmed against the seller’s current WFS instructions before production.
Bundles, Multipacks, and Sets
Products sold as a single listing must be prepared as a clear, complete unit. Proven Prep can assemble approved bundles, multipacks, sets, or kits using a written bill of materials and packaging standard.
Project controls may include:
- Correct component count
- SKU and item matching
- Bundle labels
- Packaging and sealing
- Removal or coverage of conflicting barcodes
- Sample approval
- Quality-control checks
- Carton packing by final SKU
See our kitting and assembly services for broader project support.
Carton and Pallet Preparation
After unit prep is complete, inventory can be packed into cartons or placed on pallets based on the shipping plan and carrier method.
Services may include:
- Carton organization
- Case-pack verification
- Carton labels supplied by the seller
- Pallet preparation
- Stretch wrapping
- Freight coordination
- Small-parcel inbound support
- LTL or palletized shipment support
Final carton content, dimensions, weights, destination assignments, and shipping labels should come from the approved shipping plan or account instructions.
Storage and WFS Replenishment
Some sellers prefer to store reserve inventory with a 3PL instead of sending every available unit into WFS at once. This can help separate active WFS inventory from backstock and create a repeatable replenishment process.
Proven Prep can receive bulk inventory, store reserve units, prepare replenishment batches, and send inventory according to seller-approved shipping plans. Replenishment timing should account for demand, current WFS inventory, lead times, prep complexity, and receiving variability.

Seller-Fulfilled Walmart Marketplace Orders
Brands do not have to send every product into WFS. Seller-fulfilled orders may make sense for certain catalogs, limited inventory, bundles, oversized products, seasonal items, or multichannel inventory strategies.
For seller-fulfilled Walmart Marketplace orders, Proven Prep can support:
- Connected order import
- Inventory storage
- Pick and pack
- Brand-approved packaging
- Carrier label generation
- Tracking updates
- Returns intake
- DTC inventory shared with other channels
This service can be combined with Oregon ecommerce fulfillment for Shopify, WooCommerce, TikTok Shop, Amazon FBM, and other direct or marketplace channels.
Our Walmart Prep Workflow
Step 1: Confirm the Fulfillment Model
We identify whether the inventory is being prepared for WFS, stored for future replenishment, or used for seller-fulfilled Walmart Marketplace orders.
Step 2: Review SKUs and Requirements
The seller provides item data, barcodes, packaging standards, shipping-plan information, bundle instructions, and any product-specific requirements.
Step 3: Receive and Inspect Inventory
Inventory is received and checked according to the agreed scope. Exceptions such as visible damage, incorrect labels, mixed SKUs, or quantity discrepancies are escalated.
Step 4: Complete Approved Prep Work
Units are labeled, bagged, protected, bundled, or otherwise prepared according to the written work order. Cartons or pallets are built after unit prep is complete.
Step 5: Ship and Retain Records
Inventory ships to the assigned WFS destination or directly to the customer, depending on the selected model. Shipment and inventory records are maintained through the systems used for the account.
Common WFS Inbound Problems a Prep Partner Can Help Reduce
A third-party prep provider cannot guarantee that Walmart will accept every unit or receive every shipment without delay.
However, a documented preparation process can help reduce avoidable issues such as:
- Missing or unreadable barcodes
- Conflicting scannable labels
- Loose or uncontained products
- Incomplete bundles
- Insufficient protective packaging
- Incorrect carton contents
- Mixed SKUs without clear organization
- Missing seller-supplied shipment labels
- Inventory sent without an approved plan
- Prep completed from outdated instructions
The seller should always confirm current WFS requirements in Walmart Seller Center or Marketplace Learn before authorizing a shipment.
Walmart Inventory Returns, Removals, and Rework
Inventory may be returned to a seller or 3PL because of customer returns, receiving issues, listing changes, excess stock, damage, or other account decisions.
When inventory is routed to Proven Prep, we can follow an approved workflow to:
- Receive and reconcile units
- Inspect visible condition
- Sort by SKU or disposition
- Relabel or repackage eligible units
- Rebuild bundles
- Store approved inventory
- Redirect units to another channel
- Hold or dispose of inventory based on written authorization
Why Use an Oregon-Based Walmart Prep Center?
Proven Prep’s Portland location can support brands sending inventory throughout the West Coast and into Walmart’s fulfillment network. Sellers can combine WFS prep with reserve storage, DTC fulfillment, Amazon prep, kitting, B2B shipping, and retail distribution through one warehouse operation.
Oregon also has no general state sales tax. Tax treatment depends on the seller’s specific transactions, nexus, purchasing methods, and obligations, so brands should consult their tax professional rather than rely on a fulfillment provider for tax advice.
